Maintenance Meeting
The text on this page is a working draft. Final wording is to be provided by the secretariat.
The maintenance meeting is where DMRs are reviewed live and decisions are made in the room. It is held weekly, every Thursday at 10:00 CET — see the maintenance page for the next meeting and the joining link.
Why join
Joining the call is the fastest way to get a DMR resolved. Requests are taken in turn, discussed, and either approved or set aside for further work before the call ends. A DMR that is queried on the call and answered on the call is usually decided the same day; the same query raised in writing can take several cycles.
The call is the right forum for two things in particular:
- Explaining your own DMR. If you have submitted a request — especially one that is unusual, contested, or hard to evidence in writing — come and present it. Local knowledge about a place name, a new terminal or a subdivision boundary lands far better spoken than in a comment thread.
- Commenting on someone else's. If you have voted 👎 or suggested an amendment, the call is where that objection is discussed with the requester present. Points raised live are recorded against the DMR.
What happens on the call
- The convenor works through the open DMRs, newest queries first.
- Each request is displayed and read out: what is proposed, and what the review so far has found — votes, amendments and comments from the portal are visible in the room.
- The requester (if present) explains and answers questions.
- The team discusses, and the meeting reaches one of two outcomes for that DMR:
- Approve — the request is sound and aligned with Recommendation 16.
- Discuss further — something is missing or contested. The DMR stays open with a clear statement of what is needed, and returns to a later call.
- The convenor records the outcome — see Chair's Decision and Next Steps.
Preparing
- Review the open DMRs on the list beforehand and vote or comment in the portal. Pre-recorded positions make the call much shorter.
- Bring evidence for anything contested: the gazetteer entry, the national authority's notice, the coordinates on a map.
- If you cannot attend, put your position in the portal — a written comment is read out and weighed even when the author is absent.
To be added: the meeting view of a DMR as shared on the call, with votes and amendments visible.
